## What is Cloudnotte?

CLOUDNOTTE is a modern tools for schools that want to consolidate their position as a 21st century school.&#x20;

It is an educational suite of software that empowers educators to build fast-growing, efficient, and stress-free schools, by combining all tools necessary for running a modern day school into one platform that is simple, flexible, and reliable.

Cloudnotte provides all school type with the complete modern tools to operate seamlessly anywhere and anytime.


# Getting Started

Its easy and free to get started on Cloudnotte

Firstly, you will need to;

1. Create an account on cloudnotte
2. Setup your school&#x20;
3. Configure your school


# Create an account

Creating an accout is 100% free on Cloudnotte

Creating an account allows you to setup your school on Cloudnotte.

#### Enter the information in the inputs to create your account.

* First Name&#x20;
* Last Name&#x20;
* Phone Number
* Email address
* Password
* Confirm password

Click on the Sign up to create your account after filling in all the informations&#x20;

We will send you an activation link to your email to complete your account creation.

***Note: Activation link sent to your mail may delay within 5-15minutes to arrive, if you did not get the email on your inbox, you can check your spam box.***

# Create new school

Create your school in seconds on Cloudnotte

Once you are on this page, kindly fill in the informations about your school. It doesnt take more than 1 Minute to finish this process.

* **Name of your school.** (This will be the name of your school in full)
* **School phone number.** (Please use only school phone number and not personal phone number)
* **School Email address.** (Email address should be different from your Signup email for security purposes)
* **Country.** (The country where the school is located in, if the school has branches in different countries, kindly use the Headquater as the country)
* **State.**&#x20;
* **City.**
* **School address.** (School Address should be the accurate and detailed because of search engine visibility)
* **School Prefix.** (School prefix is short name used to identify your school, and it will be used as your subdomain on Cloudnotte)

***Note: School prefix should not be more than 12 characters long, so as to make it easier for people to visit your school.***

Click on continue to proceed to school configuration

* Select your school type. Exam if its a Private, public, unity, or any college
* School Curriculum.
* School category
* School Motto

Click on the finish Setup button to complete school Setup.

# School Login

Login with your email address or your user ID given to you to access your account.

You can login as an Administrator, Teacher, Student and Parents from the Login page.

If you cannot remember your password, Kindly click on forgotten password to request a new password

# Dashboard

Once you are logged in from the Login page, the system will display to you an administrator dashboard. The admin dashboard gives you a full summary about your school.

This can be toggled on and off to switch between dark and light mode.

Here you can choose to upgrade your account to Premium. You can also choose to sign out of your account.

This card shows you how many teachers you have in your School.

This card shows you a chart of your Students' attendance; no. of students that are present, no. of students that are absent, no. of students that came early and no. of students that came late.

This card shows the number of classes that you have in your School.

This card shows the number of subjects that are offered in your School.

This graph is called Students Counts. It shows a relationship between each class and the number of students in the class. From the graph, you can see the class with the highest population, and the class with the lowest population.

This card shows the number of Students that have been picked up, you can also Request Pickup Cards


# User Management

User management refers to the processes and tools used to control access to resources within a system or organization. It involves tasks such as creating, modifying, and deleting user accounts.

**HOW TO ADD A  NEW STUDENT**

After you have logged in as an admin, for you to add a new student, all you have to do is to click on user management, after clicking the user management, click on "add new student" option located at the top of your screen.

After clicking "Add new Student", the form above shows up on the screen. You fill the form with the details of the  new Student you want to add. After filling the form, click on the "Add Student" button at the bottom right of the form . You must note that the fields with a red asterisk(\*) are mandatory, if they are not filled, you will not be allowed to submit the form. Whereas, the other fields without a red asterisk(\*) are optional, you can submit the form with or without those fields filled.

**HOW TO ADD A NEW STAFF**

To add a new student,  you click on user management then click on the "Add New Staff" option which is located just beside the "Add new Student" option at the top of the screen.

After clicking "Add New Staff", the form above shows up on the screen. You fill the form with the details of the  new Staff you want to add. After filling the form, click on the "Add Staff" button at the bottom right of the form . Whereas, the other fields without a red asterisk(\*) are optional, you can submit the form with or without those fields filled.

**HOW TO ADD A NEW PARENT**

To add a new parent,  you click on user management then click on the "Add New Parent" option which is located just beside the "Add new Staff" option at the top of the screen.

After clicking "Add New Parent", the form above shows up on the screen. You fill the form with the details of the new Parent you want to add. After filling the form, click on the "Add Parent" button at the bottom right of the form . **HOW TO ASSIGN PARENTS TO STUDENTS**

To assign parents to students, you click on user management then click on the "Assign Parents To Students" option which is located just beside the "Add new Parents" option at the top of the screen.

After clicking "Assign Parents To Students", the form above shows up on the screen. You fill the form by selecting the parents and also selecting the students whom you want to assign. After filling the form, click on the "Assign" button at the bottom right of the form.

This card in the overview section shows you the number of Students. It represents the Students' genders as a percentage with the aid of a pie chart.

This card in the overview section shows the number of fathers, mothers and others(could be any other family member or guardian).&#x20;

This card in the overview section shows you the number of Staffs. It represents the Staffs' genders as a percentage with the aid of a pie chart.


# Students Overview

Students Overview is important for educators and administrators as it provides a centralized platform to manage student information, academic progress and communication.

This is the Students' section in user management. It contains all information about all the students in your school.

This search bar can be used to look for a particular student by typing in the student's name.

This is used to choose the number of items that will be displayed in one page.

This is used to archive a student.

This column contains the names of each student.

This is an overview of the profile of each Student.

This section of the profile contains a photo of the Student. It also has a call and a message icon which when selected, is used to call and to send a message to the student, respectively.

This shows the Current Class of the student. The arrow can be used to promote the student to the next class.

This shows the User Id of the student.

"Update password" is used to change the password of the student. "Block User" is used to block the Student, this may be due to different reasons.

This shows the Parents and the siblings(if any is enrolled in the school) of the Student.

You can also call and send a message to the parents as the icon above shows.

&#x20;"Assign parents" is used to assigned parents to the student.

"View All" is used to show all the parents and siblings that may be hidden by default.

This form is used to made a change or to add a new information to a Student's profile.

This is an overview of the Fee Payment Section in the Student's profile.

This is the used to select the session for the fees to be paid.

This is used to select the term for the fees to be paid.

This shows the total amount that the Student is expected to pay.

"Generate Invoice" is used to produce the invoice for the fee payment.

"Assign Fee" is used to assign the fee to the student.

This is used to Pay the remaining/outstanding fees.&#x20;

When the Pay outstanding fees is clicked, this form shows up and you fill it by entering the exact amount you wish to pay, then "proceed".

If 'Select individual fees" is toggled on, this form shows up on the screen. You can choose to pay the fees according to their individual categories which can be seen by clicking the drop down icon.

You can also add a fee item by filling this form.


# How to Add new student on Cloudnotte

Easily add a new student on Cloudnotte to enable the student access his or her academics records

To add a new student on Cloudnotte, Click on the add new student button at the top of the screen.

Once you click on **add new student button** highlighted above, a modal or a screen will display to you to fill in the student details or information.

Kindly enter the student informations on the screen shown above.\
The inputs on (\*) is important and required, while the one's without (\*) is not required but you can fill the informations if you want to..\

Once you are done entering the informations of the student click on the **add student button** shown on the screen below and the student will be added automatically.

# How to Promote a student on Cloudnotte

Promoting a student on Cloudnotte involves assessing their academjc performance and personal growth to determine if they meet the criteria for advancement to the next level.

# How to archive a student on Cloudnotte

Archiving a student typically involves transferring their academic records, personal information, and any relevant documents to a secure storage system after they've completed their studies.

# How to change a student password on Cloudnotte

To change a student's password, you"ll typically need administrative access to the system or platform they use for authentication.

Here's a general guide:

# How students can access their account on Cloudnotte

Students can access their accounts on Cloudnotte by visiting the Cloudnotte website and logging in with their userID and password.

Their unique userID and password, should be provided to them by the Administrator.

The student should then search [www.cloudnotte.com ](https://www.cloudnotte.com/)on their browser.

Next, **Log in** at the top right of the screen should be clicked.

The form should be filled with the unique ID and password given to them.

Then click **Login** and then they will be logged in to their account.

If the student encountered an error while accessing the account, he/she should check for the following:\
1\. Ensure the internet connection is active\
2\. Ensure the User ID and password were filled correctly.\

# How to update student profile on Cloudnotte

Updating a student profile involves making changes to personal information, academic details, etc. This ensures that the stored information in the profile is accurate and up to date.

Click on students on your user management page in your Cloudnotte website.

After clicking on the students button on your User management page, You"ll see the list of students enrolled. Then you use the search button at the top left corner to search for the particular student you want to update his/her profile. After searching for the student, click on the student so you can view or update the student's profile.

The student's profile page will be then displayed to you. You"ll then fill in the necessary information of the student, edit the student's profile, change the student's password or block user.

When you are done editing and  writing on the student's profile, you then click on update profile and the student's profile will be automatically updated to the database.

# How to Delete a student on Cloudnotte

To delete a student from a system or database, you typically need administrative priveleges. Generally, you would locate the student's profile and select an option to delete or remove them.

# Staff Overview

Staff Overview is crucial for educational institutions as it provides a centralized hub for managing staff information, roles and responsibilities.

This is the Staffs section in User Management.

This search bar is used to find a particular Staff by typing in their name.

This is used to choose how many items that will be displayed per page.

To delete a staff is basically removing the staff's profile from the database.

To change a staff password is updating a staff password to a new one if forgotten or don't want to be used anymore.

Staffs can access their accounts on Cloudnotte by visiting the Cloudnotte website and logging in with their userID and password.

Their unique userID and password, should be provided to them by the Administrator.

The staff should then search [www.cloudnotte.com ](https://www.cloudnotte.com/)on their browser.

Assigning a parent to a student creates a link between the two accounts, allowing parents to access their child's information and receive updates. However, there may be instances where this link needs to be removed. Unassigning a parent from a student means disconnecting this link, removing the parent's access to the student's information, and terminating any associated notifications or updates.

To change a parent's password means to update the password to a new one if forgotten or the Parent doesn't want to use it anymore.

Updating a parent's profile refers to the process of modifying or editing the personal information, settings, or preferences associated with a parent's account.

Assigning a parent to a student is linking a parent or guardian to a specific student in your school.

Click on the Assign Parents To Students button to assign a particular parent/guardian to a student or child.

This is the admission module. Where you can control and manage all admissions and applications.

Entering scores typically refers to the process of recording and inputting students' performance or assessment results into a grading system or database. Teachers or instructors enter scores for assignments, tests, or other forms of assessments to track students' progress, calculate grades, and provide feedback on their performance.

To enter a score, Click "Enter Score", it is located at the top right of the Report Sheet module.

Select the Class, subject and the assessment for which you want to enter Scores.

Once the class, subject and assessment have been selected, a sheet to type in scores comes up. Just like we have above.

You input the score for the 1st CA, Exam and 2nd CA in their respective columns and click on "Save Score".

Then it shows just like we have above. You can also see the total score for each student which is a sum of the 1st CA, Exam and  2nd CA at the last column, "Total Score".

**PUBLISH RESULT**

Publishing results refers to the act of making students' results available to a wider audience, typically by releasing them for public access.

To publish result, Click "Publish Result", it is also located at the top right of the Report Sheet module.

Select the class and the assessment which you want to publish the result for. Then click "Publish Result" which is located just below the form.

**ENTER ATTENDANCE**

Enter attendance typically refers to the process of recording and documenting the presence or absence of each student in a class. This task involves taking note of who is present and who is not, so that at the end of the term, it is published alongside their result.

To enter attendance,  Click "Enter Attendance", it is also located at the top right of the Report Sheet module.

First you select a session, a term and a class, then the attendance sheet pops up, just like we have in the image above.

Publishing results in the report sheet module refers to the process of making student grades and performance reports available to authorized stakeholders.

These stakeholders includes students, parents, teachers. This involves finalizing and releasing the results for a specific academic term, making them accessible through the Cloudnotte platform.

# How to add questions to your question bank on Cloudnotte

What is a question bank?

A question bank is a curated collection of various types of questions used in the Computer-Based Testing (CBT) module. The question bank serves as a repository of questions that can be utilized to create quizzes, exams, and assessments within the CBT platform, ensuring a diverse and comprehensive set of questions for evaluating students' knowledge and understanding. By utilizing a question bank, educators can efficiently manage and deploy assessments while providing students with a well-rounded testing experience.

Locate the **Question Bank** button at the top of the screen.\
This will enable you navigate to the question bank page

Now that you have clicked on the question bank button, The screen below will enable you select class and subject you want to add questions to.\
Note: You need to first create your classes and subjects before heading here, and ensure you have assigned them to the appropriate teachers.

So all you need to do here is to select the class and subject you want to add your questions to.\
Note: If you have multiple arms in your school, we will only display you the Class Group which is the name of the main class. E.g SS1 will cover for Arm A, B and C. Click here to learn more about class groups and arms

Once you select a class and subject for the first time, it will show you that you do not have any questions yet, but don't worry. All you need to do is click on Add Question.\
This will bring out the question input shown below for you to enter your question.

I understand everything here looks a bit confusing, but don;t worry, i'll explain every single thing for you.\
First,  we have different inputs where you can type in your questions but before you proceed, you must create a question section in order to help you group your questions properly. Question sections are useful when it comes to question bank and it is required when adding your question.<br>

The first input is the Question title, this is where you will type your question title, For example, Who is the president of Nigeria?.... The image showed below is an example of the input to add question title

The next input is where to enter the options for the question. Options are usually set of different options for students to select from. E.g A. Apple, B Cane, C fruit, D Rain... Kindly look at the image below. \

Select Section for your question. Remember section are used to group your questions. Click here to learn more about question sections.  Kindly look at the image below to understand the right input.

The next input is the academic term. Questions are usually tied to academic term so you can re-use them each terms in a new section and can easily know which term this question is for. \

The next input is the correct answer. This is where you specify the correct answer for the question so the system can know the correct answer. \

The next input are not required but they are neccessary which are:\

# How to use section on Question bank to group questions

Sections are very important when it comes to adding questions.\
So for example, Mrs Anita is an English teacher and she wants to add a comprehensive question to her exam question but she doesn't know how to go about it..

This is where question sections comes in, All Mrs Anita need to do is create a question section called Comprehension and then on the instruction input, Mrs Anita should enter the comprehension passage on it.

What this means once you are adding a question and you select the section automatically the students can see the comprehension passage when answering the questions on the exam page. \
Note: Question section has different use cases, so feel free to use the section for your own purpose.

Once you get to your question bank and have selected a class and subject you wish to add question for, Click on the question section segment

Adding an image via online image enables you to search for image by name instead of leaving the screen to open google search.

All you have to do is enter the name of the image you are looking for example, Lion and then click on search.... The image below is how the result will look like...\
Once you have seen the appropriate image you are looking for, click on it and it will be added automatically to the image input

# How to setup exam on Cloudnotte

Setting up an exam is the most beautiful part of Cloudnotte CBT, because it gives you the full flexibility to manage your exams.

### Step by Step guide on how to setup your exam

Firstly, ensure that you have created an exam group. An exam group is only created by an admin.. Click here to learn how to create an exam group.

You can filter an exam group based on session, term and class the exam group is for.

Click on the view on the exam group you want to setup an exam for.

Once you click on view, you select the class you want to setup exam for.

Note: As a teacher you can only see classes thats assigned to you.

Click on a class and proceed.

Once you have clicked on Proceed, you will be taken to the next page that allows you select subject and other useful details you need for the exam.

Click on Setup New Exam

Select the subject you wish to setup exam for and proceed. The subject will then be selected and you can then configure the exam subject

From the subject selected, you setup the following configuration for the exam:

1. **Number of Questions:** This is the number of questions you want students to answer when writing exam
2. **Total marks for the exam:** This is the total marks for the exam subject
3. **Start date and time:** When the exam is expected to start
4. **End date and time:** When the exam is expected to end
5. **Duration:** How long can a student write the exam. E.g 30 mins
6. **Instructions:** Instructions the students will need to read before starting the exam
7. S**elect students that can write the exam:** If you want some specific students to write the exam only
8. **Shuffle exam question:** You want questions to be different for each students, e.g No 1 can be No 7 for another student.

### How to select Number of questions for the exam subject:

You can select numbers of questions you want students to answer by clicking on view under the Number of questions table below.

Once you click on view, a dialogue of your question bank will display on your screen.

Use the check box to select the question you want or you can use the select all button.

You can also filter questions for a specific session, term and question section by clicking on the filter icon close to the search box.

Note: You can edit a question from here and also add a new question by clicking on the rounded plus button at the bottom floating.

after you have selected the questions you wish to use, a proceed to review button showing you the total number of questions you selected will display at the bottom of the screen.

Proceed to review takes you to the Review section where you need to review that the questions you selected is the appropriate one.

Once you are okay with the questions, you can proceed to setup (The button below)

After you have finished configuring the other informations, Click on the create button to publish the exam for that subject so the students can write it.

Once you create the exam, you will alerted that the exam has been published successfully.

Note: You always edit and save again just incase you made a mistake.


# How to enable/disable students that can write exam on Cloudnotte

There are some scenarios where you want to setup an exam but not for all students to write it , maybe fewer students or so.

That is where the enable/disable student from writing exam comes in.

Navigate to the **exam setup** screen for that exam subject.\

Once done, click on the close icon to close the modal and then click on **update** button to **save** the changes.

Once you have updated it, you can always go back to enable the student and save the changes again.

Once you are on your question bank, on the question box..

Click on any input you want to edit.

# How to filter questions on your question bank

Filtering questions enable you sort questions properly you want to use for an exam or edit your question bank.

**You can filter questions by the following options:**

1. By Session
2. By  Term
3. By Section

Kindly go to your question bank and select the class and subject you want to view

Always remember to click on the icon that looks like sweep or broom to remove the filter or else the questions will always be filtered once you are on the question bank screen.

# How to configure an exam group

Configuring an exam group allows you to add extra functionalities such as:

1. **Display exam Score instantly on submission?**: If this is enabled.. students can see their exam score immediately they submit an exam
2. **Student/Parent should have access to exam corrections?**: If you want the students to have access to corrections on their dashboard when they submit an exam
3. **Notify user their score when an exam is submitted?:** if you want to notify parents of the student exam score just like **Jamb** 🤩🤩

Navigae to settings, then go to CBT.

**What is an exam group?**

An exam group just as the name implies is you grouping your exams so you can track an exam for accountability purposes and simplicity so you dont have your exam screen littered around 🤩🤩.

**Let me walk you through step by step guide on how to do it.**

Firstly you must be an admin to perform this action.

Go to **settings** and then click on **CBT**

on the **CBT settings** screen, we have two options which are:

1. **Exam group**
2. **Question Tags**

The **Exam group** is the active tab showing first. Click on the **Create exam group**

Once you have clicked on it, A dialogue will appear on your screen to create the exam group.

To send a message, Click "Send Message". It is located at the top right of your communication module.

To send a Newsletter, Click "Send Newsletter". It is located at the top right of your communication module, just beside "Fund units".

To check your message history, Click "Message History". It is located at the top right of your communication module, beside "Send Newsletter".

Select card type, Using the drop down button select the kind of card type you want.

# How to assign attendance card to student and staff

Assigning an attendance card involves allocating students and staffs to confirm their presence in school by providing them with an attendance card.

How to assign attendance card is shown below:

Click on Attendance Module on your Cloudnotte page.

Click on Assign Attendance Card at the top right corner of your attendance module page.

Select student.

Click on the button icon to select staff if it's the staff you want to give an attendance card.

Write down the card number.

Then click on assign.

Click on assign to assign card number or click on cancel not to assign a class number.

# Lesson Note

This module is used for creating Lesson Notes. Lesson note is a detailed plan or outline prepared by a teacher to guide instruction duirng a particular lesson or class period.

Cloudnotte provides a centralized platform for storing lesson notes, ensuring that they are easily accessible to teachers anytime, anywhere. It allows teachers to create customizable templates for lesson notes, providing a structured format to guide lesson planning.

First, select a term, class and Subject.

Then, click "Create Lesson Note".

After clicking "Create Lesson Note", this pops up.

Click, "Create From Scratch".

Then, this comes up. You enter the Topic then, click "Save".

Once you click "save", you will see the topic that was just created, just like we have above.

Next, you have to clcik the topic which you created. Then, this shows on your screen where you can add contents.

You can Share a topic by clicking on "Share", it is located at the top right of your screen.

You can choose to copy public link, or message an audience just as we have above.

If you want to message an audience, Click on "Message", then this shows up on your screen.

Fill it with the appropriate information and click "Send".

You can also delete a topic, by clicking "Delete", it is located at the top right of the screen.
